Overview
Efficio is an application that allows organizations to manage constituents on site as social services are delivered. It includes tools for checking in clients, managing line numbers, and communicating status. The tools simplify operations while promoting operational best practices. Efficio is configurable to support many different use cases. Efficio works on virtually any phone, tablet, or computer without the need to install anything, and there are NO licensing fees.
Efficio enhances the dignity of constituents by providing a simple and fair check in process that eliminates the need to stand in long lines for service. It also creates a basis for better knowing and communicating with constituents. Taken together, Efficio enables social service organizations to serve constituents better.
Efficio is a Latin word for "enable" or "accomplish". Efficio was created by sustainablecivicsolutions.org, who retains copyright in the design and software. Any 501c(3) may request to become a pilot user.
Current Features
The following features are currently available:
- Uses a no-install web based application that works on any device with internet access (phones, tablets, computers).
- Provides an easy to use check in page for capturing constituent data and/or issuing line numbers, as desired.
- Supports staff-assisted or self-service check in.
- Allows the data to capture during check in to be configured by event.
- Allows customizable workflows, selectable by event, to handle different use cases and preferences.
- Provides built-in language translation.
- Issues client line numbers sequentially or randomly (or not at all), with options selectable at event opening.
- Displays a board showing the currently served line number and/or messages for clients.
- Provides a real-time page where constituents can check the line status on their own device, without logging in.
- Dynamically calculates estimated wait and service times, per constituent, based on current service rate and past history.
- Provides a dashboard for monitoring event check in count, service count, service velocity, and expected end time, so event managers can better manage service delivery.
- Provides a page for incrementing line numbers and marking constituents as having been served at time of service.
- Allows onetime logins for public kiosks and volunteers, avoiding the need to create, manage, and remember separate accounts. Offers Email based onetime logins for regular users, eliminating the need to remember passwords.
- Provides a page to view all checked in constituents, with realtime updates and exports to Excel and CSV.
- Automatically calculates and captures detailed impact and performance metrics, with reporting within and across events.
- Allows simultaneous use of any number of pages on multiple devices (i.e. multiple check in kiosks may be used).
- Provides flexible access control by organization and role, allows separation of duties at events.
- Provides event manager pages for choosing the active event, opening/closing service, and incrementing/decrementing the line numbers being served.
- Provides administrative applications for setting up and maintaining organizations, services, events, and users.
Technology
Efficio is designed as a multi-tenant cloud application, where all organizations use the same underlying system yet retain segregated data. It uses secure connections, modern stateless token based authentication, single-use nonces, encryption, and server based caching of data for security and high performance. Efficio is carefully designed for concurrency to avoid data collisions, regardless of how many users and applications are in use. Efficio is built for speed, ensuring the best performance even where network connectivity is poor.
Future Plans
Efficio continues to evolve to address new high-priority needs. The following capabilities are expected to be in future releases.
- Support for unique and secure client identifiers to speed check in for repeat visitors
- Online/remote check in and electronic "tickets", for constituents who have mobile devices
- Volunteer sign up, management, and check in
